JOB DESCRIPTION
The Business Support Associate role will have responsibility for general administrative tasks to support the department.
The Business Support Associate operates in a team environment, working closely with other colleagues to ensure comprehensive and consistent delivery of business support through sharing of best practice and process improvement and alignment.
The role will have interactions with colleagues at all levels and possibly across more than one Pfizer site.
Daily business support activities could include but are not limited to:
- Organising logistics for team meetings internally, externally and at other Pfizer sites
- Diary Management for designated colleagues including arranging meetings using Microsoft Outlook adding relevant conferencing links and booking meeting rooms where required
- Booking travel and accommodation in line with Global Travel Policy and assisting with associated expenses
- Collating and maintaining data for departmental processes and databases
- Department mailbox management
- Creating agenda, taking and issuing meeting minutes and actions where required
- Creation and ongoing maintenance of shared department areas within SharePoint and Teams. Ensuring sites are kept up to date and easy to access and navigate
- Assisting with interview schedules and coordination to support recruitment campaigns
- Processing visitors’ requests and ensuring all details are processed through relevant visitor systems.
- Arranging Team Events where required
- Collation and preparation of business materials on request (PowerPoint slides, agendas, pre-read material etc)
- General administrative duties including, photocopying, scanning, dispatch of packages via courier
- Electronic filing of department documentation using electronic filing system including SharePoint, Teams, GDMS etc
- Management of purchase orders and associated invoices
- Responsibility for ad-hoc projects as directed
- Suggesting and implementing process improvements for administrative functions carried out throughout the department
